Create an Appraisal Template with Temporary Locks

Creating an appraisal template with a temporary lock allows you to prevent employees from accessing a form while a line manager works on it. You can also temporarily hide line managers' changes from employees.

To do this, you must create employee statuses. For example:

  • Ready to Review, with the Lock option selected.

  • In Progress, with the Lock option deselected.

Create as many employee statuses as needed. You do not need to create any manager statuses. Employees are unable to access appraisals with a status set as locked.

Use statuses as follows:

  • Employees: after adding information to the appraisal, change the status to a locked status (e.g. Ready to Review).

    This status alerts the line manager and stops the employee from temporarily accessing the appraisal.

  • Line Managers: After adding information to the appraisal, change the status to any other status without a lock, (e.g. In Progress).

    This allows the employee to see the line manager’s information.

  • When the employee and line manager are both happy with the information added to the appraisal, change the status to Complete.

    This status locks the appraisal permanently and makes all information read-only.

    If required, line managers can use the Reset option to unlock the appraisal.
