Coming soon: Report writer
We’re excited to announce an upcoming feature currently in Development that will allow you to build custom Report Templates in Staffology Payroll, designed specifically for reporting on Pay Run data. With this powerful tool, you’ll be able to generate reports across single or multiple Pay Runs, with the combined values returned for easy analysis.
Estimated Arrival*: April 2025
Reportable Data
You will have the flexibility to create columns for both static data (e.g., Employer, Employee, and Pay Run Data) as well as dynamic data, where you can report on specific Pay Codes (such as pay and units).
A comprehensive list of reportable fields will be available in the Help Centre when the feature is launched. However, here’s an example of the types of fields you can expect to report on:
Static Employer Data
Add columns with key employer information such as:
-
Employer name.
-
Accounts office reference.
Static Employee Data
Report on employee details, like:
-
Payroll code.
-
NI number.
-
Employee name.
-
Address.
-
Date of birth.
Static Pay Run Entry Data
Create columns for system Pay Codes, such as:
-
Gross pay.
-
Net pay.
-
PAYE tax.
-
Pay date.
-
Tax period.
Dynamic Pay Data
In addition to static information, you can create dynamic columns that reflect specific Pay Codes. For instance, you might add columns for "Overtime Hours" and "Overtime Pay" that pull data from multiple relevant custom Pay Codes used across the Pay Runs you select. This flexibility allows you to tailor your reports to focus on the pay details required for the Report Template being built.
Report Templates
The Report Writer will allow you to create and manage multiple report templates for each employer. If you have access to the employer who owns a template, you’ll also be able to use that template for any other employers that you can access.
Cross Company Reporting
With Version 1, you’ll be able to run reports across multiple Employers/Pay Schedules at once.
Version 1 and Future Enhancements
Our goal is to release an initial version of the Report Writer as soon as possible, given that this feature has become the most-requested enhancement in our ideas portal. However, we plan to continue working on improvements and enhancements after the first version is live.
Here’s a preview of some features we’ll be working on for future updates:
-
Totals and Sub-Totals: Version 1 will not include options for adding totals or sub-totals to the report outputs, but these will be included in later releases. You can of course add these to the output file in excel.
-
Sorting and Ordering: In the initial version, reports will be sorted by Payroll Number. Future updates will allow for more customizable sorting and ordering options.
-
Employee Selection Criteria: Version 1 will output data for all employees included in the selected Pay Runs. In future iterations, we will add filters to include only employees who meet specific criteria that you define against the Report Template.
-
On-Screen Results Viewing: Initially, reports will only be output to Excel. However, future versions will allow you to view results on-screen within Staffology, with an option to export the data as needed.
Stay tuned for more updates as we progress towards the launch of this feature between January 25 and April 25.
