Holiday balances for enhanced and average daily schemes
Holiday balances are maintained automatically for employees on enhanced or average daily holiday schemes. Balances update immediately when leave is added and are displayed on the employee record.
How balances work
Each balance has three components.
| Balance components | |
|---|---|
| Component | Description |
| Entitlement | The total number of days the employee is entitled to. This is editable to set an opening balance for mid-year starters. Once the employee has been processed in a payrun, the field is locked. |
| Days Taken | Updates immediately when leave is added. This reflects the days that have been paid. |
| Manual Adjustment | A field for any corrections that fall outside normal payrun processing. |
Enhanced schemes: two-tier balances
Employees on an enhanced scheme have two separate balances — one for enhanced rate days and one for standard days. The system reduces the enhanced balance first. If a day was recorded using Pay as Other, the standard balance is reduced instead.
Mid-year starters
For employees joining part-way through the holiday year, set the opening entitlement before the employee is first processed. The entitlement field locks after the first payrun update.
Deleting a holiday entry
When an average-days holiday entry is deleted, the system automatically reverses the balance deductions made when the entry was created. Both enhanced and standard day balances are corrected where applicable. Deleting a holiday that was not paid as average days leaves balances unchanged.
Balance warnings
A warning displays when a holiday entry would exceed the remaining days in the balance. The entry can still be saved, but the warning indicates the entitlement will be exceeded.
