Set up a Holiday Entitlement Increment

By setting up a Holiday Entitlement Increment, you can make sure any additional holiday an employee is entitled to automatically applies at the start of the next absence When an employee or worker is absent from work. This can be for a variety of reasons. year or on their service anniversary.

Before setting a Holiday Entitlement increment, you must create an Entitlement Scheme.

Create a Entitlement Scheme

  1. Go to System Tools.

  2. Select Lookup Tables.

  3. Select Absence, then Entitlement Scheme.

  4. Choose Create New.

  5. In Lookup, enter a name for the entitlement scheme.

  6. In Holiday Entitlement:

    • If your entitlement has a set number of days, enter this number

    • If holiday entitlement should increase based on an employee's length of service, for example, extra days after 2 or 5 years, leave Holiday Entitlement blank. You set these increments up, including when they apply, when creating the Holiday Entitlement Increment

Create a Holiday Entitlement Increment

Make sure to create your Entitlement Scheme before setting up a Holiday Entitlement Increment.

  1. Go to System Tools.

  2. Select Lookup Tables.

  3. Select Absence, then Holiday Entitlement Scheme.

  4. Choose Create New.

  5. Set the following:

    1. Apply Increments By: choose when the increment applies:

      • Absence Year End applies the increment when the employee's absence year ends, so the additional entitlement applies from the start of the new Absence Year

      • Service Anniversary applies the increment on the employee's service anniversary, based on their start date

    1. Scheme: The Entitlement Scheme affected by this rule.

    2. Years of Service: the number of years of service an employee must have completed for this increment to apply.

    3. Increment Days: the extra holiday entitlement, in days, that the employee should receive in addition to their current holiday entitlement.

    4. Increment Hours: as above, except this is for employees on an hours-based work pattern.

    5. Ratio of FTE: Select if you have employees on less than 1 FTE as this pro-ratas the amount of holiday they receive, based on their FTE. If this is not relevant as per your company policy, leave this deselected.

      Repeat for each Year of Service this applies to.

Assign an Entitlement Scheme

To assign a rule to a new employee, go to an employee's My Details, select their Contract tab, and choose the appropriate scheme from Entitlement Scheme.Select Save.

Bulk assign an Entitlement Scheme

To assign a rule to a specific group of employees, choose them using the Employee Selector first.

  1. Go to System Tools.

  1. Select Utilities.

  2. Choose Tools and then Lookup Replacement

  3. Select Contract – Entitlement Scheme from the Field list.

    If there was no entitlement previously, leave From blank. The number of records that will be updated display.

  1. Select the appropriate Scheme to apply from the To list and select Save.

    This then applies to the following automated end-of-year process.
