Create a rota in Hours View

Activate the Rota module in System Tools > Utilities > Tools > System Configuration > Rota.

  1. From Home, select Rota > Hours View

  2. In the right-hand pane, select:

    • The store you want to view. You can only view one store at a time, for one week at a time.

    • The rota month and week. When you select a month, the rota calendar shows the first week of that month. If you select the blank option at the top of the list, the rota calendar shows the current week.

      If you select a date from the calendar in the right-hand pane, the rota calendar always show the full week that includes that date, starting from Monday.

  1. In the employee pane, select an employee. Their name displays in the Active field.

  2. In the calendar, select and drag the appropriate square to add the employee to the rota for the required number of hours. The hours show in grey while you drag. When you have chosen your selection, the squares change to a shaded colour.

  3. Repeat steps 3 and 4 to add the employee to any other days. As you add entries, the system shades each corresponding day in green in the employee pane.

  1. To see a tooltip showing the employee’s ID number and working hours, hover over their name in the calendar.

  2. To remove an entry, select the employee's name from the calendar and the select Delete on your keyboard.

  3. Add any notes on the Rota Notes screen and select Save.

  4. Repeat steps 3 to 8 until you have completed the rota.

  5. After completing the rota, select the right-hand pane to save, publish and email the rota to the following people:

    • The person publishing the rota.

    • The nominated recipient at each store (blind copy).

    • Each employee in the rota with a valid email address (blind copy).

  6. When the rota publishes, the store names in the header turn green. To see a tooltip confirming the rota has published successfully, hover over the header.

  7. To print the rota, select Actions > Print.
