Create a rota in Days View

Activate the Rota module in System Tools > Utilities > Tools > System Configuration > Rota.

  1. From Home, select Rota. The system defaults to a Days View.

  2. In the right-hand pane, select:

    • The Rota month. When selecting a month, the rota calendar shows the first week of that month by default. If you select the blank option at the top of the list, the rota calendar shows the current week.

    • The region(s) you want to view.

    • The stores(s) you want to view.

  3. In the employee pane, select an employee. Their name displays in the Active field.

  4. To add the employee to the rota, on the calendar, select the square for the required day and store.

  5. Repeat step 4 to add the employee to any other days and stores. As you add entries, each corresponding day changes to a shaded green colour in the employee pane.

  6. To remove the employee from a day and store, select the entry in the calendar and choose Delete on your keyboard.

  7. To move the employee from one square to another, select their name in the original square and choose the square you want to move them to.

  8. Add any notes on the Rota Notes screen and select Save.

  9. After completing the rota, select the right-hand pane to save, publish and email the rota to the following people:

    • The person publishing the rota.

    • The nominated recipient at each store (blind copy).

    • Each employee in the rota with a valid email address (blind copy).

  10. When the rota publishes, the store names in the header turn green. To see a tooltip confirming the rota has published successfully, hover over the header.

  11. To print the rota, select Actions > Print.
