Configure user access to the Recruitment module

Access to the Recruitment module depends on user roles as described in this table.

Role Role Access level – what users with this role can do Prerequisites
Recruitment Manager
  • Access the module using the Recruitment option in the navigation menu.

  • Access System Tools and configure the Recruit module (for example, design mail merge templates, create actions and stages, and configure module access)

  • Create vacancies and candidates.

  • Manage the recruitment process at all stages.

Hiring Manager
  • Access candidate information for vacancies allocated to them, using the Vacancies tab on the homepage in HR.

  • Suggest the next stage in the recruitment process for candidates and add notes (all other information is read-only) .

Line Manager in HR
Candidate Reviewer
  • Access recruitment information for vacancies allocated to them using the Vacancies tab on the homepage in HR.

  • View candidate information.

  • If configured, suggest the next stage in the recruitment process for candidates and add notes.

Vacancy Approver
  • Approve vacancies for internal or external publication (if you have the Authority to Recruit option enabled for your organisation).

Vacancy Approver box ticked on Contract tab in HR.
Agency
  • Add candidates directly.

  • View details of their own candidates and their progress through recruitment stages for vacancies allocated to them (using Where Clauses.

Agency access depends on number of licences, contact your account manager if you need more licences.
Candidate

External candidates:

  • Create their own login for the recruitment portal (website) to apply for vacancies.

  • Communicate with the recruitment manager via the recruitment portal.

Internal candidates:

  • View and apply for vacancies published internally by selecting Vacancies or Notifications on the homepage.

To view recruit users’ details and set up access for new users, go to Recruitment > System Tools > Users. To view inactive users, select View Inactive.
