Add a new vacancy

  1. On the Recruit homepage, select New at the top of the bottom pane.

  2. Complete the basic vacancy details, using this table as a guide:

    Field Description
    Vacancy ID
    The system automatically gives each vacancy a unique identifier (ID).
    Reference Enter a vacancy reference. This is used in your recruitment portal and is searchable.
    Job
    Select the appropriate job from the list. The options available for selection depend on the job types configured in the system.
    Active Select Internal, External, or both. If your organisation has recruitment authorisation enabled, you can only activate the vacancy after completing authorisation. (See Authorisation below.)
    Internal Publish Date
    Enter or select the date to publish the vacancy internally.
    If recruitment authorisation is enabled for your organisation and the vacancy needs authorisation (see Authorisation field below), you can only publish it after authorisation.
    Applications by Enter or select the closing date for applications.
    Closed Select this to manually close the vacancy early.
    No. of Vacancies Enter the number of vacancies for this role.
    Hiring Manager Select the appropriate hiring manager from the list.
    Candidate Reviewers Select beside Hiring Manager to access this field and choose any appropriate candidate reviewer(s) from the list. If required, select more than one name.
    Can Suggest Stage
    Select this to allow candidate reviewers to suggest the next stages for candidates for this vacancy (for example, to have the same rights as hiring managers).

     

    Leaving this checkbox deselected gives candidate reviewers read-only access to candidate details.
    Recruitment Manager Select the required recruitment manager from the list.
    Salary
    Enter the salary range figures for the vacancy (used in emails to vacancy approvers, but not shown in your recruitment portal).
    Benefits Enter or select any benefits for the vacancy (used in emails to vacancy approvers, but not shown in your recruitment portal).

     

    Authorisation
    If you have recruitment authorisation enabled for your organisation, selecting this field allows you to give authority to recruit to any employee with Vacancy Approver status.
    After selecting the checkbox, choose the employee's name from the dropdown and select Request.
  1. Select Save. The vacancy details display in the top pane in the General tab. Additional tabs are also available at the top right-hand side of the screen. You can now:

    • Use the tabs to add more information about the vacancy.

    • If required, use the options in Actions:

      • If this is a recurring vacancy, select Duplicate Vacancy and amend the dates.

      • To send details about the vacancy (including salary and benefits) from the General and Other tabs to each email address added to the Email field, select Send Vacancy Notification.
