The smallest organisational unit that cannot be separated, with a responsibility defined within the organisation

Incumbent
Employee holding a Position
John Smith is the Incumbent for the Product Owner Position
Primary Position/Assignment
The main job the employee is employed to do
John Smith holds four Positions but his Primary Position is Product Owner
Primary Incumbent
The Position's main employee
Product Owner is held by two employees but Kelly Right is the Primary Incumbent for the Position
Assignment
The individual and specific contract details the employee holds for a Position
 
Expired Assignment
(History info)
An Assignment whose Contract end date has passed
Note: an Assignment is considered to be expired once the Contract end date has passed (Contract end date < = today) or the user manually unassigns the Position from the employee
Contract end date < = today
Active Assignment
A current Assignment that hasn't reached the Contract end date
Start Date <= today & Contract end date >= today or Contract end date is not set
Inactive Assignment
An Assignment either starting in the future or paused due to special leave (maternity for example)
 
Assigned Employee
An employee assigned to a Position
John Smith is an Assigned Employee to the Position Product Owner
Assigned Position
A Position assigned to a employee
John Smith has an Assigned Position of Product Owner
Vacant Position
A Position that is currently not assigned to any employees
Product Owner is currently a Vacant Position as it doesn’t have an employee assigned to it
Unassigned employee
An employee that is currently not assigned to a Position
John Smith is in the system but he is an Unassigned Employee as he doesn’t have a current Position
FTE (Full-time equivalent)
A unit indicating the workload of an employed person, typically 1.0 FTE = 40 hours per week for 1 year
John Smith is assigned to the Position Product owner. This is his full-time job which he does Mon - Fri all year, equating to an FTE of 1
Employee FTE
A unit indicating the full-time workload of an employee
John Smith has an Employee FTE of 1, split between two Positions consisting of 0.5 FTE per Position
Position FTE
A unit indicating the workload of a Position
The “1st Line Support“ Position has a Position FTE of 10. It can be filled by 10 full-time employees or 20 part-time employees, each contributing 0.5 FTE to the Position
Position Manager A Position Manager allows you to restrict who can see certain positions when assigning them to employees, this works in conjunction with Set rights and the Where Clause Allows you filter records using a specific criteria.
