Configure Position Management
Enable the Position Management (PM) module
System admins can activate the Position Management module.
To do this, go to System Tools > Utilities > Tools > System Configuration > Position Management.
When enabling the module, you must enter an email address to receive notifications about the PM module, e.g. upcoming assignment expiration.
Configure Set Rights for PM
When activating the PM module, the system automatically allows all Set Rights Set Rights are the system permissions you allocate to employees to control the information available to a user about other employees. Users access, including access to the Position Management screen in System Tools > Utilities > Position Management.
The system admin can also View, Create, Modify and Delete data on the Assignments tab, via Directories.
You can change access from the default set up via Set Rights. To make PM available to an employee:
- From My Details > Personal, select Actions.
- Select Set Rights > Indicators.

Check the Position Management tick box.
Assignments tab options in the Advanced section displays.
Here you can configure the View/Create/Modify/Delete Assignment rights to allow an employee access to their Assignments tab.
You can also give the employee access to their team's Assignments tab.
We suggest View as the default option for employees.

View |
Provides read-only access to the Assignments already created.
Users can select the Assignment cards at the top of the screen and view details in the panels below. They can also view their Assignment History.

Create | Allows users to view Add Assignment at the top of the screen and enables them to create Assignments. This also permits users to set a position as the Primary. |
Modify
|
Allows users to see the Edit option when viewing details of an Assignment and enables them to change details on an existing Assignment. This also provides them access to select Unassign on a current Assignment. |
Delete | Enables users to delete an unassigned Assignment record and move into the Assignment History section. You can only delete a record on the Assignments tab once it moves into the Assignment History section. |
View PM Lookup values (dropdown lists)
Position Management uses Lookup values (dropdown lists) as part of the position creation process.
The Lookups are the same as those that currently exist in other parts of Staffology HR . We have listed below the ones specific to PM.
We encourage you to populate all Lookup fields to help create a well-rounded system. The only mandatory field you must populate before creating a Position is Country.
Position Type | Similar to as Job Type on the Contract tab, this lists different types of positions in the company (e.g consultant, cleaner, director, developer). |
Company | Lists the company applicable to the Position. |
Location/Division, Team, Department/Cost Centre | Lists details related to the internal organisation of the Company. This helps to define the position's specific organisational entity (Department, Cost Centre, Team etc). |
Country |
Select a country from the list.

Currency
|
Lists the Currency used for the salary of this position. This depends on whether the company has a specific currency configured for payments. |
FTE scheme |
Lists predefined no of hours per week considered as the full-time employee scheme for a position.
An FTE scheme can be set at the position level and is, by default, inherited by the corresponding assignments. If needed, you can overwrite a specific assignment.

Work Pattern |
Lists of predefined patterns of working hours or days for a specific interval of time (counted in days). A work pattern is set at the position level and is inherited by default at the assignment level. You can also overwrite the value at the position level on a specific assignment.
A non-fixed work pattern must always have a starting date configured as part of an assignment instance.

Contract Type
|
Lists the types of contract signed with the employee (e.g. fixed term, permanent, temporary). |
Personal Grade | This is a flexible field and is normally used for unique Salary Bands or Job levels, for example in government or education, you may have salary bands and within each band a spine-point system. |
